Laboratory Lot Traceability and Batch Records

Knowledge Hub · Traceability

A practical way to connect an identified research material with the records that actually apply to it.

A lot number is a record link

A lot identifier connects a labeled material to a defined group of records. It is useful only when the same identifier appears consistently on the item, the applicable Certificate of Analysis, and supporting inventory or fulfillment records.

Match the document before reading the result

Start with compound identity, labeled quantity, lot number, testing laboratory, report or accession number, and report dates. A certificate from another lot may provide general context, but it is not batch-specific documentation for the material being reviewed.

Keep two meanings of traceability separate

Batch traceability follows a material and its records through a process or supply chain. Metrological traceability concerns a measurement result and its documented relationship to a reference through a chain of calibrations. One does not automatically establish the other.

Traceability review checklist

  • Confirm the lot on the label matches the certificate.
  • Identify the laboratory and report number.
  • Confirm which sample and tests the report covers.
  • Record receipt, report, and document-revision dates.
  • Retain the original report rather than an edited image.
  • Ask about discrepancies before relying on the record.
